How do we put 
our newsletter on the Web?

Many chapters with web sites include the same information on their web site as is included in their newsletter. To do this, you have some different options, discussed below. In general, which option you choose will depend how your newsletter is prepared and in what format you can get the text and any graphics from the newsletter to put them on the web.

You may choose either to update your chapter web site regularly with the same text and graphics from your newsletter OR you may prefer to have a link from your chapter web site to a separate web page or group of web pages or other files that are updated with newsletter articles.

(1) The simplest method is to use the program that prepares the newsletter if it has an option to "SAVE TO HTML". Later versions of WordPerfect and Word have this option. What this does is look for the formatting, fonts and spacing, of the newsletter and converts those to the HTML (web page codes) that do, roughly, the same formatting for a web page.

(2) A slightly harder method is simply to copy the text you want from your newsletter into one or more web pages. To do this, you need to have a basic understanding of web page codes (HTML) or a web page editor.

Helpful hint: if there are several different stories on your newsletter web page (or if you want to put the stories on separate web pages), you might want to have a table of contents at the top of the main newsletter web page that links to each main story, with a link under each story back to the table of contents.

(3) A bare bones method might be to save your newsletter as a plain text (also called ASCII or DOS text) file from the program that prepares the newsletter. For example, you could call this file "newsletter.txt". It is possible to link to a plain text file from a web page like so: <a href="newsletter.txt"> Link to Recent Newsletter Text</a>. This link assumes that you have uploaded the "newsletter.txt" file to your chapter web space. When visitors click on this link, most browsers will display the plain text file in the web browsing window.

(4) Another possibility, similar to (3) above is to upload your newsletter file or files to your chapter web space in the same computer file format in which it is prepared. For example, if your newsletter is prepared in Word or WordPerfect, you could upload those files and then link to them as described in (3) above. The problem with this is that not all of your web site visitors may be able to read this type of file. Some visitors may also hesitate to download files from your web site fearing viruses or other problems. But it is mentioned here as an option for newsletters or other documents you may wish to share through your chapter web site.

No matter which way you choose, the result needs to be one or more files displaying the text you want from your newsletter . If there are any graphics in your newsletter that you also want to display on web pages, they would be in separate files. Word and WordPerfect documents include graphics within the same file. (Note: if you want pictures to display with the text of your newsletter, the basic text file, (3) option above won't work for you.)

Your newsletter files are then uploaded to your chapter web space. THEN, you will want to add a link from your main web page on your chapter web site to the newsletter web page (or to the first page of the web version of your newsletter if you broke your newsletter into more than one web page.)

A good suggestion is to make a folder (directory) on your web site called /newletter or some other name. (To do this, you need to have FTP access to your chapter web site.) Put all newsletter web pages and graphics in this folder. Name the first page of your newsletter (or the single web page of your newsletter) index.html or index.htm. Then visitors would only need to type in your chapter web site address followed by /newsletter to get to the newsletter. (As a reminder, the first web page file of your main chapter web site should also have one of these two names but it will be in the top of your chapter web site. If your chapter web site is hosted on the NAS web server, this would be the /chapter/stateinitials/chaptername/ folder.)
